Rooms, Trips & Clubs

  • Staff Room Booking

    Any requests for meeting rooms, classrooms or breakout rooms must be requested through area/program staff from the office of the Associate Dean, Academic. Please send an email to staffroombooking@schulich.yorku.ca to submit a request, including the following information:

    • Date of request
    • Start/End Time
    • Number of participants
    • Catering Allowed room needed
    • Course Number (if applicable)

    If you are requesting a room due to rescheduling a class, please also note the policy on class rescheduling.

  • The usual expectation is that a class is held in the assigned classroom.  If your course calls for a field trip or a class to be held off campus, please notify your area / specialization as to your plans and contact Susan Kimberley so the appropriate permissions, emergency information and waiver forms can be obtained.  Please note that it will take time to get everything organized, including the signatures of participating students on the applicable forms.

    It is not permissible to hold classes/events off campus without the knowledge of the school.  Please note that you are assuming personal risk if you choose to do so anyway.

  • Overview

    Breakout rooms are used on a reservation-only basis and can be booked within the following time frames:

    • Keele Campus: Monday – Sunday, 8:30am – 12:30am
    • Executive Learning Centre*: Monday – Sunday, 6:00pm – 10:00pm
    • Nadal Centre*: Monday to Thursday 8:30am – 10:00pm, Friday 8:30am-4:00pm

    * Graduate students only

    Booking Policies

    1. Breakout rooms can only be booked for the current and subsequent two days.
    2. Rooms can be booked for a maximum of 2 hours. All requested times must be on the hour or half-hour.
    3. You may book only one breakout room per day.
    4. The minimum group size is 3 students and the maximum is 8.
    5. The School has set the following priorities for the use of breakout rooms:

    1. Regularly scheduled instruction
    2. Occasional instruction
    3. ‘601’ group work
    4. Group study
    5. Other uses

    In general, bookings for higher priority uses will take precedence over and can be made further in advance than those for lower priority uses.

    How to Book

    Keele Campus

    1. Log into the Student Portal using your Schulich credentials.
    2. Under the Useful Links menu, click on Book a Breakout Room.
    3. Using the arrow buttons, scroll to the desired date.
    4. Double click on the schedule at the desired time and room.
    5. Enter the information as prompted and click Save.
      (Note: If you enter your name in the Title field, it will be visible to other students.)
    6. Email confirmation will be sent to all 3 students in the booking.

    Note: The online Student Room Booking Application is only accessible to Schulich students enrolled in courses in the current term. Students not currently enrolled in courses may submit booking requests by following the same procedures as outlined below for Nadal bookings.

     

    Nadal (MBA Students Only)

    1. Log into the Student Portal using your Schulich credentials.
    2. Under the Useful Links menu, click the Other tab, then on Book a Breakout Room at Nadal.
    3. Using the arrow buttons, scroll to the desired date.
    4. Double click on the schedule at the desired time and room.
    5. Enter the information as prompted and click Save.
      (Note: If you enter your name in the Title field, it will be visible to other students.)
    6. Email confirmation will be sent to all 3 students in the booking

     

    Notes:

    • Please note the opening times for the Nadal Management Centre (see above).
    • MBA students share breakout rooms with executive program students. The Schulich Executive Education Centre (SEEC) is the primary user of Nadal during the daytime, the MBA is the primary user during evenings. The availability of breakout rooms during the day is dependent on programming by SEEC. Given the highly interactive nature of their programs, a breakout room may be temporarily unused but set aside for group work that occurs while a course is running. Particularly from Wednesday to Friday (daytimes), availability may be severely restricted. Please see the room booking app to determine what is available.

     

    601 Phase Meeting

    To book a room for a 601 phase meeting, please contact the MGMT 6100 office directly at mgmt6100@schulich.yorku.ca.

     

    Housekeeping Rules

    All users must comply with the housekeeping norms outlined below:

    • Do not overstay your reserved time.
    • Beverages are permitted but food is not.
    • Use only white-board markers on the white boards. Do not tape or pin anything on the walls.
    • Keep the supplies in the room. Do not move furniture in or out of the room.
    • Dispose of all garbage, erase the whiteboard, and arrange the chairs neatly when finished.
    • Any damage to the room should be reported at the start of the booking period to the concierge or front desk.

  • Student Clubs

    Student Clubs at Schulich have two masters — their respective Student Government (UBS or GBC) and the school’s administration. Clubs need to satisfy the requirements of both in order to remain in good standing and to be able to host events. Please contact the UBC or GBC for the appropriate club policy.

    Student-Organized Events

    Please consult pages 6 and 7 of the above club policy for more information on events.  Also download and read the Workflow for event proposals, below, which contains  information on the organization of events. The event procedure defines who may book events and what the requirements are for different types of events. Events must be applied for using the Event Proposal Form.
